Job vacancy: Assistant to the Director/Project Assistant for EU Projects at the DAAD Brussels office

DAAD is the world’s largest funding organisation for the international exchange of students and researchers. The Brussels Office represents the DAAD, its activities and programmes vis-à-vis the EU institutions. It provides information on higher education policy developments at EU level and works closely with the relevant Directorates-General of the European Commission, as well as representatives of the European Parliament and other EU institutions. Furthermore, the DAAD Brussels office is involved in the implementation of two European-funded projects: the European Digital Education Hub (EDEH) and the Erasmus Mundus Support Initiative (EMSI). To support the further growth of the office, the work of the director and the implementation of EDEH we are looking for a motivated Assistant to the Director / Project Assistant.
EDEH is an online community connecting education stakeholders from across Europe. As a key initiative of the European Digital Education Action Plan, the Hub aims to overcome the current fragmentation of digital education policy, research and implementation practices at European level. It is implemented by DAAD together with other European partner organisations on behalf of the European Commission.
What you would do – responsibilities
Administrative support to the DAAD Brussels Director (20%)
- Scheduling and coordinating meetings, sessions and event participation
- Communication mostly in German within the organisation (Bonn, Berlin, global offices) and with external stakeholders
- Organisation of business-related travel
EDEH Project Support & Administration (35%)
- Organizing internal working meetings, as well as meetings with project partners and key stakeholders
- Documenting meetings through minutes
- Supporting reporting processes and ensuring compliance with deadlines
- Assisting with financial calculations and budget monitoring
Event Organisation (45%)
- Researching and selecting suitable event venues
- Obtaining and comparing offers for technical support, catering, and venues
- Coordinating travel arrangements for participants and speakers
About you – Necessary qualifications, prior experience, and skills:
- A relevant higher education degree (B.A.-level upwards)
- First experiences in project/event management, administrative support and budgetary management in the context of EU-funded projects and activities
- Excellent speaking, writing, and editing skills in German and English (both languages are essential for this position, candidates without a good knowledge of German (B2) cannot be considered); French language skills are a strong plus
- Very well organised as well as a structured and detail-orientated way of working
- Ability to coordinate and prioritise multiple tasks simultaneously
- Strong communication skills and client orientation
- Interest in European higher education policy, digital education policy and EU governance structures
- Ability to work effectively and independently, as part of a team, and in partnership with other organisations
- Experience in communication and public relations work are a plus
